Position Summary

Reporting to management, this position is of of several that trains, coaches, mentors, supervises and co-ordinates the activities of landscape grounds maintenance workers across multiple sites and projects. The Maintenance account manager ensures that work is carried out safety, efficiently and in a quality manner within assigned unit. This position performs administrative tasks and is the liaison between maintenance operations, office administration, and management. Additionally, as a key contact for customers the maintenance account manager provides exceptional customer service and offers suggestions for landscape enhancement services and grounds upgrades.

 

Work Schedule

The account manager will generally work Monday – Friday and weekends if deadlines warrant. It is expected that during the season, the account manager work Saturday from April – June and during Fall clean-up (November). A workday will generally be a 10 hour day, depending upon scheduling and service deadlines.

 

Qualifications

  • 3-5 years of management in Landscape field
  • 3 years in the Winter operation field
  • Trained in Health & Safety Awareness/Due Diligence as per Ministry of Labour guidelines
  • Strong organizational, time management, problem-solving and analytical skills; able to manage priorities and workflow
  • Basic understanding and ability to use Microft Office – Word, Excel, Apple, LMN Time (training will be proved)
  • Self-motivated and ability to work independently
  • Demonstrated ability to perform all tasks associated with maintenance operations
  • Experience in leading crews and motivating staff
  • Superior communication skills with staff and customers
  • Excellent organizational and time management skills
  • Flexible and adaptable with demonstrated ability to multi-task
  • Posses a valid First Aid & CPR certificate
  • Willing and able to obtain related training, licenses and/or certifications as may be required

 

Winter

The winter operations manager will generally be on call 24/7 from the period of November to April. Being on call 24/7 will mean working though the night, weekends, holiday’s and long hours are a must.

 

Job Description

Duties for this position include but are not limited to the following

 

Safety

  • Training and safety on the job – On boarding for new hires
  • Ensures correct working procedures are followed
  • Communicate hazards and control procedures to workers
  • Take reasonable precautions to ensure safety of workers
  • Actively support the health and safety program
  • Performing in incident inventions, information sessions and worker training
  • Participating in incident investigations, correcting substandard acts or conditions

 

Customer Relations

  • Be passionate about serving our clients
  • Focus on developing professional relationship with customers
  • Managing multiple properties in a specific region
  • First point of contact for clients
  • Focus on “walk where the people walk”
  • Conducts site visits with customers to plan jobs, assess work completed and review seasonal upgrade needs
  • Managers up to 50 or more accounts depending on size

 

Spring/Summer/Fall Field Operations

  • Oversees the activities of crew leaders, directly, and numerous grounds maintenance crews, indirectly, who maintain lawns and gardens; plant and maintain tress, shrubs, flowers and plants; spread topsoil and lay sod; and spray, prune cut and remove trees, shrubs
  • Provides on-site training in job duties, equipment operation and company policies and produces to maximize efficiencies and productivity – ensuring staff are properly signed off prior to operating equipment
  • Establishes work schedules and procedures resulting in Actual Hours is equal to or less than estimated hours, managing tools and equipment, storage, operation and maintenance
  • Maintaining the LMN time, authorizing staff hours making sure the hours are entered correctly start/finish times along with the proper job
  • Oversees quality control and ensures all service and quality issues rectified efficiently and effectively
  • Co-Ordinates activities with other work crews and the construction division, as required
  • Resolves work related proactivity seeks to recommend and implement solutions
  • No regular schedule work on a Saturday unless its, rain date recovery or its NEW billable items only
  • Monitor’s equipment for ‘wear and tear’ and ensures regular maintenance and repairs conducted

 

Crew Management

  • Motivates staff to achieve service excellence and exceed customer expectations
  • Manage between 4/5 – Crew & up to 12 members
  • Supports forepersons and managers in the filed by advising and coaching on work and employee related issues
  • Monitors staff performance and conducts regular evaluations (1X per year)
  • Makes recommendations for hires, promotions and pay increases
  • Develops staff by working with them to build and support a team environment
  • Demonstrate role model behaviours on ethics and integrity as well positively promoting the International Landscaping Inc. way
  • Performs related field operations duties as assigned

 

Administration

  • Monitor, verify and approve LMN timesheets for payroll daily
  • Audit daily LMN entries to make sure they are entered accurately
  • Update extra task status’ to completed in IDW (Intland Digital Workplace)
  • Communicates with customers on the phone or via e-mail and fax to address customer
  • Prepares invoices for billable maintenance items and may collect payments from customer
  • Participates in weekly maintenance meetings, bi-weekly ‘tailgate talks’, weekly Monday morning foreperson meetings and the weekly Tuesday Landscape operations meetings

 

Winter Pre Season Field Operations

  • Conduct site visits with clients to review state of property report any damages and conclude any special areas of concern and where snow piles are to be located
  • Review contracts and co-ordinate the updated maps, scheduling other relevant documentation
  • Season change over constant communication between the winter operations manager, maintenance manager and construction project manager and head shop mechanic ensuring all equipment, trailers and in safe working order
  • Ordering snow stakes, salt bins, salt orders, and organizing mixing of fusion
  • Make sure all contractors are up to-date on WHIMIS and licenses are valid along with all managers
  • Organize and schedule the mobilization of winter with constant communication with all managers
  • Organize all sub contractors and internal staff conducting internal training on what is expected of the job along with LMN training
  • Emergency contact list is required and updated annually
  • Making sure there are enough employees/contractors to fulfill Intentional Landscaping requirements

 

Field Operations Curing Winter Season

  • Continually 24/7 monitor and in engage in all broadcasts of the weather
  • Oversees quality control and ensures all service and quality issues rectified efficiently and effectively
  • Resolves work related problems and proactively seeks to recommend and implement and implement solutions
  • Maintain accurate information in the LMN database on clients/customer etc.
  • Winter snow removal proposals, after significant snow falls, keeping upselling in mind with snow removal
  • Monitor all equipment for wear and tear ensuring regular maintenance in between storms, coordinate mechanics as when required
  • Delegating to walkway and areas supervisors enforcing salt boxes, ice melting products and fuel in machines are full at all times
  • Continuous communication amongst property managers, security guards and subcontractors throughout the year ensuring good customer service
  • Accident Injury Reports, Slip and Falls, and WSIB Claims to be completed within 24hrs and submitted to the proper personal
  • To notify and report within 24hrs any vehicle or property damage filled to either HR or shop mechanic respectively
  • Participated in attending discovery meeting if necessary, being organized and have all forms completed
  • Other assigned duties as required (could be form changing a hydraulic hose or shovelling sidewalks)

 

Team Management

  • Support Crew Leaders in the field by advising and coaching on work and employee related issues
  • Makes recommendations for hires promotions and pay increases

Working Conditions

  • Work occurs mainly on-site on customer property, company vehicle or at the head office
  • Work may occur under extreme weather conditions
  • Position in physically demanding with regular lifting (up to 50lbs), pulling and pushing (up to 150lbs)
  • Must be able to work in various positions such as kneeling, squatting, bending, stooping, reaching and standing for extended periods of time
  • Driving on a daily basis is required
